Our regular group runs are free and need no registration. The waiver of liability and the conditions of entry apply, and by taking part you agree to them. As there is no fee, the cancellation, refund and ticket terms do not apply, and we collect no personal data.

For paid events — those with a participation fee or paid options — the cancellation and refund terms, the handling of personal data, and the ticket terms apply in addition to the above. We confirm your agreement with a checkbox on the checkout page when you register.

Our terms of business and privacy policy form part of these terms. By registering for a paid event you agree to these terms, including those documents.

By taking part in a TOKYO RUN CLUB run or event, you agree to the following.

1. Running carries physical risks, including falls, collisions and sudden changes in your condition. You are responsible for your own health and ability, and take part at your own risk and within your own limits.
2. We are not liable for accidents, injuries, illness, loss, theft or other damage that does not arise from a cause attributable to us.
3. For paid events, where damage does arise from a cause attributable to us but we have not acted intentionally or with gross negligence, our liability is limited to ordinary damages and capped at the total participation fee and options that participant paid for that event. This cap does not apply to injury to life or limb.
4. If you cause damage to another participant or to a third party, you are responsible for resolving it at your own cost.
5. We may change the route, meeting point or content of an event, or cancel it, due to weather, transport, venue circumstances, disaster or other unavoidable reasons. Fees are then handled under our cancellation and refund terms.

• Each registration covers one participant.
• Registration for paid events is limited to those aged 18 and over. If the participant is under 18, a parent or guardian must register on their behalf; the parent or guardian is then the contracting party, agrees to the terms of participation, and is responsible for ensuring the participant follows them.
• Alcohol, where served, is for participants aged 20 and over only.
• Travel to the meeting point and any extra food or drink on the day are at your own expense.
• Where we judge it necessary for the safety of participants or others, we may decline your participation or ask you to stop partway.

• Once your registration is complete, cancellations by the participant are non-refundable, as food and equipment are arranged in advance.
• If we cancel an event due to disaster, venue circumstances or other reasons on our side, we refund the participation fee in full. Refunds are made to the card used for payment, and we cover the fees.
• If we cancel due to weather, we refund the fee less any cancellation charge imposed by the venue.
• If we need to cancel an event, as a rule we decide by the day before and let you know by email and on social media.
• No-shows on the day are not eligible for a refund.
• To transfer your place to someone else, email hello@tokyorunclub.com by the day before the event.

The same terms appear in our terms of business as a statutory disclosure.

• When you register for a paid event we collect the participant’s name, email address, phone number and cardholder name.
• Accepting registrations for paid events, taking payment, and confirming eligibility
• Important messages about the event, including the meeting point and any cancellation
• Identifying you and recording attendance at check-in on the day
• Handling cancellations and refunds, and answering your enquiries
• Safety management and emergency contact in the event of an accident
• As needed to run our events, we entrust personal data to the processors listed in our privacy policy. All are located outside Japan, so your personal data is transferred overseas. Registering constitutes your consent to that transfer.
• We retain registration data for seven years after the event, in line with our accounting and tax record-keeping obligations, and delete it promptly thereafter. If you ask us to delete it sooner we will do so, except where we are required by law to keep it.

Our privacy policy lists our processors, the countries data is transferred to and the safeguards applied, and how to request disclosure or deletion.

• After registering you receive a confirmation email with a link to your ticket page. Use it at check-in.
• The URL is unique to your registration — please do not share it publicly.
• Tickets for refunded or cancelled registrations are void.

We may revise these terms and our privacy policy in response to changes in law or in our services. When we do, the version number and effective date shown on each page are updated, and we announce significant changes on this site. The version in force when you register is the one that applies to your registration.
